Manage roles and project access

Change an instance role and grant, update, or remove access to an Oore project.

Give an existing user the Oore-wide role and project membership their work requires. Instance roles and project roles are separate controls.

What you need

  • An Owner or Admin account to change instance roles
  • Maintainer access to a project to manage that project’s members
  • An existing active or invited user

Choose the two levels of access

LevelAvailable rolesWhat it controls
InstanceOwner, Admin, Developer, QA ViewerInstance-wide settings and the maximum access a person may receive
ProjectMaintainer, Developer, ViewerPipelines, builds, artifacts, settings, and membership within one project

Owner and Admin have implicit Maintainer-equivalent access to every project. Do not add them as explicit project members.

Developer and QA Viewer need explicit membership. A QA Viewer is always limited to Viewer project access, even if a higher project role is requested.

1. Change an instance role

  1. Open Settings > Users.
  2. Open Actions for the user.
  3. Select Change role.
  4. Choose Admin, Developer, or QA Viewer.
  5. Confirm Change role.

Only the Owner can promote someone to Admin or change an existing Admin. You cannot change the Owner role or your own role from this menu.

2. Grant project access

  1. Open the project and select its Settings tab.
  2. In Project access, select Add project member.
  3. Choose the User.
  4. Choose a Project role:
    • Maintainer manages the project’s settings and members as well as its build work.
    • Developer manages pipelines, triggers or cancels builds, and reads or writes artifacts, but cannot manage project settings or membership.
    • Viewer reads the project, builds, logs, and artifacts.
  5. Select Add.

To change an existing membership, open its Actions menu and choose another project role. To remove it, select Remove access and confirm.

Verify the result

  • An instance-role change shows Role updated for <email>.
  • A new project member appears in Project access with both their instance and project roles.
  • A project-role change shows Access updated for <email>.
  • Removing access shows <email> removed from this project, and the user no longer sees that project’s builds, logs, or artifacts.

The backend remains authoritative. A nonmember receives a privacy-preserving not-found response for the project; a member whose role is too low receives permission_denied.

Troubleshooting

An Admin role change is rejected

Only the Owner can promote a user to Admin or modify an existing Admin. Sign in as the Owner and repeat the change.

A QA Viewer cannot receive Developer or Maintainer access

QA Viewer is intentionally capped at Viewer for every project. Change the person’s instance role first if they need broader project access.

The user does not appear in the member picker

The user may already have explicit membership, be disabled, or have implicit access as Owner or Admin. Check Settings > Users and the existing project member list.

Next step

Review the exact roles and permissions matrix, or disable a user when all of their Oore access should stop.
